Building Manager, Commercial (Chantilly, VA)

What You Bring:

  • Bachelor’s Degree in engineering, construction, business, architecture, planning or related field (years of experience may be substituted if deemed appropriate)
  • 1-3 years of experience in property or facilities management or related field.

Key Responsibilities

  • Responsible for implementing the annual operating and facility plan for an assigned property, maintaining the physical and aesthetic appearance of property, note deficiencies, suggest solutions, implement solutions.
  • Demonstrate basic knowledge of building systems to include plumbing, HVAC, electrical, elevator and fire safety systems. Assure optimal functioning of property, building and building systems.
  • Principal contact for tenant and contractors. Initiate action when appropriate.
  • Investigate, report, and resolve tenant complaints, building deficiencies and security, insurance, or community related incidents related to property.
  • Perform property inspections as well as daily/weekly/quarterly inspections as needed.
  • Monitor all service requests and work orders for the property.
  • Review all leases and amendments for the assigned property and ensure adherence to lease requirements.
  • Prepare and present monthly financial reports. Reforecast unanticipated events each month and prepare variance explanations.
  • Develop a 2-year operating budget(s) to include long term planning and capital improvements.
  • Periodical bidding of contracted work to ensure standards, pricing, and best practices within industry are always attained.
  • Prepare contracts for signature and execute contracts for records.
  • Create purchase orders in Nexus Payables and review/approve property expenses/invoices.
  • Attend department meetings and report on status of any problems or projects at assigned building.
  • Assist others in department as required with special projects, RFP’s, building and staff events, etc.
  • Assume other responsibilities and duties as required.
  • Respond to after hour calls and emergencies/incidences at property.

Technical Project Manager (Chantilly, VA)

Key Responsibilities

  • Manage assigned technical or large-scaled renovation projects from inception through completion to include scope development, procurement/oversight of design and construction services, permitting, coordination with vendors and tenants, and project closeout. Projects may include:
    • Mechanical and electrical infrastructure upgrades
    • Lighting upgrades
    • Fire protection and life safety upgrades
    • Elevator modernization
    • Recommissioning efforts of existing building systems
    • Energy audits
  • Track and manage all project expenses within authorized limits and budget. Communicate any change orders and variances with all stakeholders.
  • Work closely with the program management team with project planning and scheduling, project accounting, and management of customer expectations.
  • Implement an effective QA/QC program to ensure that all project work is performed in a safe, professional manner, in accordance with contract requirements and best practices for mission critical facilities.
  • Identify opportunities for any cost efficiencies while maintaining quality that is in line with the customer’s mission.
  • Identify and provide cost estimates for recapitalization projects.
  • Assist the program management team with asset inventory management for newly installed equipment.
  • Work closely with the development team on new construction projects and assist with the coordination of all construction activities affecting operating buildings.

  • Prepare partnership, S corporation, C corporation, individual, and trust tax returns
  • Collaborate with the accounting department in reviewing tax workpapers and fixed asset schedules
  • Develop and implement tax planning strategies to reduce tax expense, eliminate tax exposures, minimize audit deficiencies, and maintain a competitive effective tax rate
  • Maximize tax loss carryforwards, bonus depreciation, Section 199A deductions, and cost segregation studies
  • Assume expertise for new and emerging tax issues
  • Oversee preparation and review of tax projections for three-year period
  • Identify and drive process improvement projects within the tax function
  • Maintain ownership of tax internal controls and update as needed

Accounts Payable Specialist (Fairfax, VA)

Key Responsibilities

  • Perform weekly check runs including routing the Open Invoice report on time, double checking exempt invoice selections, separating checks based on different signature authorization levels and keeping track of checks that require special handling
  • Perform urgent check runs as needed
  • Assist Controller in filing the annual 1099 reports to qualified vendors
  • Complete credit applications
  • Perform backup responsibilities for the Operations Accounts Payable Specialist. Assist them on a routine basis in order to maintain the ability to perform his/her duties seamlessly
  • Receive and route all invoices for payment within two days of receipt
  • Handle routing issues with invoices and work with Controller to resolve
  • Track, request, receive, enter and file Certificates of Insurance for all vendors working on site
  • Track, request, receive, enter and file lien waivers for all vendors working on site
  • Update the cash workbook with all check run information and track ACH payments
  • Set up vendors in the software making sure to enter the 1099, COI and lien waiver data accurately
  • Receive, reconcile and respond to vendor statements; follow up with accountants or managers to resolve any outstanding invoice issues
  • Maintain an up-to-date procedure guide for the entire AP Process
